The 7-Step Lab Purchase Checklist: How to Verify Equipment and Consumables Before You Order

I'm the office administrator for a 32-person biotech company. Roughly $240,000 of lab supplies flows through my inbox every year, across 11 different vendors. I don't touch a single pipette or membrane filter myself—but I'm the one who signs off on the orders, and I'm the one who gets blamed when the wrong thing shows up.

That's why I put this checklist together. It took me three years' worth of mistakes to figure out what actually matters when you're verifying lab equipment and consumables before hitting "submit." If you're in a similar position—buying for labs, not working in them—this is for you.

Seven steps. No fluff. Let's go.

Step 1: Verify you're on the official site

This sounds obvious, but you'd be surprised how many fake storefronts show up when you're searching for lab equipment. "Sartorius official site" is a common search term around our office because people genuinely can't tell what's official anymore. Sponsored results at the top are notorious for leading to resellers or unauthorized dealers charging double.

Here's my rule. I check three things before entering any PO information:

URL structure. Official sites use the brand's actual domain. Not a variation like "official-store-sartorius.com" or "buy-sartorius.shop." If the domain has extra words, it's not official.

Contact page. If there's no physical address and no customer service phone number, walk away. Legitimate suppliers want you to be able to reach them.

Authorized distributor lists. Sartorius lists authorized distributors on their official site. It takes about a minute to cross-check. I've caught two orders in the past year that were going to unauthorized dealers this way.

What most people don't realize is that the fakes aren't just on sketchy websites anymore. They're in search ads, they're on marketplaces, and they're getting better at looking legitimate. Five minutes of verification saves you from receiving a shipment of something that isn't actually rated for lab use.

Step 2: Define your application requirements first

Before you compare brands or prices, write down what the equipment actually needs to do. I learned this the hard way when I ordered a membrane filter based purely on one product spec sheet—without checking what our lab was actually running through it.

For example, if your lab does HPLC-based double-stranded RNA analysis, the consumables you need have different requirements than a general-purpose bioprocess filter. Pore size, flow rate, extractables profile, chemical compatibility—it all matters. I can't tell you exactly which filter is right because that depends on your protocol, but I can tell you this: write down the application requirements before you open a product page.

Same goes for instruments. When the lab requested a Caliper CD-6 ASX, I honestly didn't know what that was. So I asked. I asked them to tell me, in writing, what sample types they'd be running, what throughput they needed, and what software environment they expected. That written spec became the yardstick for every purchase decision after that.

To be fair, this step takes an extra 15 minutes. But it's the difference between ordering a filter that fits your process and ordering a filter that fits a product photo.

Step 3: Compare alternatives spec-by-spec, not price-to-price

Here's where buyers get into trouble. Someone searches "sartorius membrane filter donaldson alternative" and finds a filter that's 15-20% cheaper. That becomes their entire decision. Price alone. Then a batch fails and the investigation comes back to "the consumables weren't validated for this application."

I went back and forth between Sartorius and Donaldson filters once. The decision genuinely kept me up at night for two weeks. On paper, the Donaldson option was 18% less expensive. But the Sartorius filter had the retention rating and extractables data our quality team wanted. What resolved it for me was comparing specifications side by side, not prices side by side:

  • Pore size and retention rating
  • Flow rate at operating pressure
  • Chemical and pH compatibility
  • Extractables and leachables data
  • Sterilization compatibility
  • Documentation and batch traceability

Here's something vendors won't tell you: the first quote is almost never the final price for ongoing relationships. If you're a reliable repeat customer, there's room to negotiate—with either brand. So don't let a sticker price difference be the deciding factor. Get the full picture, then ask for a better number.

Step 4: Plan calibration requirements before you order

This is the step people hate, because calibration isn't exciting and it isn't cheap. But if you're purchasing any kind of pipette—Eppendorf, Sartorius, Rainin, whatever—calibration is a recurring cost that must be in the budget from day one.

People search "how to calibrate pipette eppendorf" all the time, thinking it's a do-it-yourself job. It's not, at least not if you need compliance-ready results. Pipette calibration should follow established procedures and standards. ISO 8655 is the reference standard for piston-operated volumetric apparatus, and it covers testing conditions, tolerances, and documentation requirements. A DIY approach with a kitchen scale isn't calibration. It's a guess.

I've watched labs try to save money by skipping calibration, and the outcome is always the same: measurements drift, data becomes unreliable, and months of experiments get thrown out. Ask the vendor whether their quote includes initial calibration and certificates. If it doesn't, add it in before you submit the PO.

It's a lot cheaper than redoing six months of work.

Step 5: Verify documentation capability

In 2022, I made a mistake I still kick myself for. I found a great price from a new vendor—roughly $1,800 cheaper than our regular supplier. I ordered 20 packs of membrane filters. Then came the invoice: handwritten, no letterhead, no tax ID. Finance rejected the expense report. I ate $1,800 out of the department budget, and I looked bad to my VP in the process. Now I verify documentation capability before placing any order.

Before you buy, confirm the vendor can provide:

  • Certificate of Analysis or conformity documentation
  • Batch and lot traceability
  • Safety data sheets (SDS) where applicable
  • Calibration certificates for instruments
  • A proper, finance-approved invoice

If they can't produce these, they're not a legitimate lab supplier. Period.

Step 6: Calculate the total cost of ownership

The sticker price is never the real price. Here's what goes into my actual cost calculation:

Purchase price. The beginning, not the end.

Calibration and certification fees. These recur. Budget for them annually.

Lead time cost. If it takes 9 weeks instead of 3, what does that cost your lab in idle time? In Q3 2024, we compared two filtration systems. Option A was $4,200 with a 4-week lead. Option B was $3,500 but had a 9-week lead. The unit was a replacement for a broken system. Those extra 5 weeks would have cost us roughly $2,000 in lost productivity. Option A was the obvious choice once we did the math.

Proprietary consumables. Some equipment locks you into expensive refills. Ask about it before you buy, not after.

Technical support availability. Is it free? Is it actually staffed? A product that saves $500 but takes 2 weeks to get support for is not a bargain.

Step 7: Inspect on delivery

Don't just sign for the package and put it on the shelf. Take ten minutes to check the shipment while it's still in the receiving area:

Is the packaging intact and properly sealed? Do the labels match what you ordered—lot numbers, batch numbers, expiration dates? Are all certificates included in the box? Does the physical product match the specification you were quoted? Gray-market products often have packaging inconsistencies that you'll only catch if you actually look.

If something doesn't match, document it with photos and contact the vendor immediately. Five minutes of verification beats five days of correction. That's not a slogan. That's the math.

Common mistakes I still see

After five years of managing lab purchases, here's the short list of what catches people off guard:

Waiting until something runs out. Rush orders take away all your leverage. You'll pay more, you'll skip verification, and odds are you'll receive the wrong item. Then you get to do it twice.

Trusting search results over established relationships. The sponsored result at the top of a search is not the official site. Ever. Go directly to the brand's domain or use an authorized distributor list.

Ignoring application-specific requirements. The filter that works perfectly in one process can ruin another. Write down the application requirements first and compare against them.

Skipping calibration to save money. I've never seen this end well. It's the most expensive "saving" you can make, because it comes with unreliable results, compliance risk, and eventual rework.

Look, I'm not saying every order needs to take weeks. This checklist usually takes me 20-30 minutes per order. That's 30 minutes I didn't spend when I first started, and the result was a string of expensive mistakes. My documented verification process has saved us an estimated $8,000 in potential rework since 2023. Not to mention the downtime my scientists didn't have to deal with.
