My Bottom Line
I am the person who signs purchase orders for a 45-person biotech lab. I manage roughly $600,000 in annual lab spending across about 12 vendors. My job is to make the scientists happy without making finance unhappy. That often means choosing not just equipment, but the way we buy it and support it.
I’ve spent the last five years comparing two buying models for precision instruments: direct from the manufacturer (meaning we pay Sartorius, not a reseller) and through a general instrument distributor. This article is about how I learned to decide, not just based on sticker price.
Now I compare four things: support depth, document quality, invoice reliability, and breakdown response. In that order.
What I’m Actually Comparing
The easiest way to think about this is to compare two paths for the same piece of equipment:
- Direct path: You call Sartorius, get a dedicated Sartorius contact, buy the instrument, service plan, and calibration directly.
- Distributor path: You order the same Sartorius product from a broad-line lab supplier. They handle the quote, the invoice, and the first level of support.
I’ve used both paths for balances, pipettes, and—most importantly—a Sartorius chromatography system. The difference is not where the box ships from. It’s what happens after it arrives.
Comparison 1: Who Actually Knows the Product?
"Tell me about the pump pressure on this system." That was my question when we installed our Sartorius chromatography system. The distributor’s sales rep, to their credit, replied within a few hours. But the answer was a forwarded link from the user manual. Not bad—just not helpful.
The direct Sartorius contact—the one who opened our account—responded with "What buffer? What column dimensions?" and then walked through the actual settings. For lab equipment, the paperwork is more than paperwork. It proves traceability. Auditors care.

When we bought the Sartorius chromatography system directly, we got a qualification package with a clear audit trail, reference to an ISO/IEC 17025-accredited calibration laboratory, a service reminder schedule, and documentation aligned with USP Chapter <1058>. Is that unique to Sartorius? No. It’s a general difference between buying complex systems from the manufacturer versus buying boxes from a middleman.
But it’s easy to miss until you’re in an audit. The question isn’t "Does it have a certificate?" It’s "Can you get a replacement certificate three years later?" With a direct Sartorius record, yes. With a distributor, you’re hoping their file retention matches yours.
Comparison 3: Invoicing and Procurement Nonsense
Here’s where my admin buyer side kicks in. I’ve processed a lot of invoices. The "always get three quotes" advice ignores the transaction cost of validating new vendors, setting up ACH, and chasing down their accounting department when something fails.
I still kick myself for a 2021 decision: I chose a lower-priced distributor for a big order without checking how they handled invoicing. The invoice arrived handwritten. Finance rejected it. One More Analogy: Absolute Encoder Thinking
One of the best analogies I’ve heard for direct manufacturer support comes from motion control. An absolute encoder always knows its position, even after losing power. It doesn’t need to re-find home on every startup. A standard incremental encoder does.
A direct Sartorius contact is like an absolute encoder: they know your system history, order history, and what’s already been serviced. A distributor rep starts from zero every time you call—or at least every time you get a new rep. That’s not laziness; it’s just how the system works. But for someone managing lab supplies, the ability to start from "here’s where we left off" saves hours.
When Should You Choose Distributor?
I don’t want to sound like the answer is always direct. For consumables—pipette tips, syringe filters, standard membranes—a distributor makes sense. The order process is faster because it goes into their existing catalog, and you can consolidate deliveries. One surprise: the distributor also shipped faster on routine consumables because they kept local stock. The direct Sartorius contact had to route through a warehouse. That is okay for a big instrument, but not for pipette tips.
For simple equipment with lower failure risk and without complicated compliance needs, a distributor is a fine partner. Compare them on invoice reliability, delivery speed, and whether they actually answer the phone.
When Should You Go Direct?
For complex, critical, or audit-sensitive instruments, I now go direct. Specifically:
- A Sartorius chromatography system or similar integrated platform.
- Analytical balances used for QC or data integrity.
- Equipment where the manufacturer’s software, firmware, and service history matter.
In those cases, the additional cost of a direct purchase plan is worth it. I also make sure to ask for a named Sartorius contact at the start. That one relationship pays for itself when a scientist is staring at an error code.
My Bottom Line
The fundamentals of procurement haven’t changed: know what you’re buying, know who to call, and verify the paperwork. But the execution has transformed—manufacturers like Sartorius now build support ecosystems that distributors simply can’t replicate because they control the service history, software updates, and qualification documents.
The old thinking was that local distributors were faster just because they were close. That was true 10 years ago, when remote support was less mature. Today, a well-organized manufacturer service team can often beat a local distributor’s pass-through.
"Best practice" in 2020 was to keep a distributor relationship because they handled everything. For complex lab instruments in 2025, I’d argue the better practice is a hybrid: use distributors for logistics, use the manufacturer for knowledge. The science depends on the instrument; the instrument depends on the people behind it.
If you’re an administrator like me, the next time you get a quote for a Sartorius product, ask one question: "If this breaks at 4 p.m. on Friday, who do I call?" That answer tells you more than the price ever will.
